Preserve client-specific sources and brand context

Keep each client's Research, Brand Kit, Business Profile, and memory in the right workspace, and check every external share before it leaves.

Why this matters

Brand context is where clients spot a leak first. A draft in another client's voice, a competitor you only track for someone else, or a plan PDF with the wrong business name is a trust failure you cannot take back. Plans, Create drafts, and advisor answers draw on the active workspace's Business Profile, Brand Kit, Research, and Marketing Memory. Keeping those inputs clean for each client is what makes every piece of work you Execute safe to send, and what keeps each client's Learn step about their own business.

When to use it

When you add sources, update a Brand Kit, onboard a client, or prepare anything that leaves your practice: a PDF, a draft, an export, or a screen share.

Before you start

  • The client switcher shows the client you are acting for.
  • You can tell the client's own material (site copy, decks, past campaigns) from outside research (competitor pages, market reports).
  • Adding or deleting Research sources needs a Manager role or the owner. Editors can read sources but not change them.

Do this

  1. 1Open Research for the active client and add each source in the right mode: My Content for the client's own material, Market Sources for outside research. Wait for Context ready before relying on it; an accepted upload is not yet usable context.
  2. 2Update brand context only in that client's Brand Kit, opened from Workspace. Upload logos and fonts there and click Save Changes. Never reuse a logo file or voice note saved for another client.
  3. 3Correct the client's Business Profile on Workspace when a fact is wrong. The page notes that every plan, content draft, and advisor answer builds on it.
  4. 4Leave Marketing Memory where it was learned. The Marketing Plan describes it as "What we've learned about your business that shapes each plan." Never restate one client's learnings as context for another.
  5. 5Before anything leaves your practice, open it and check three things: the business name, the brand voice, and that every cited source belongs to this client. For a plan, use Save as PDF from that client's own Marketing Plan.
  6. 6When a client needs to see their own workspace, invite them as a workspace collaborator with the Viewer role so they reach that workspace and no other.

What you should see

Each client's Brand Kit, Research, Business Profile, and Marketing Memory hold only that client's material. The Clients table shows Brand Kit as Complete once a logo is saved. A PDF you export carries the plan of the client active when you exported it.

How to judge it

Pick any file you sent a client this month and confirm everything in it (name, voice, sources, examples) belongs to that client. Then switch to a second client and confirm none of the first client's sources or brand assets appear there.

What it does not mean

Keeping client data separate does not mean rebuilding your method for each client. Your process, checklists, and these Academy worksheets are yours to reuse; the client's material stays in their workspace. The Clients page does compare clients, but only through operating counts such as open decisions, and only for your team. See Classify sources as My Content or Market Sources.
