Separate organization, client, and user access

Understand the account, workspace, and role layers, and keep each client's profile, sources, brand, and memory inside that client's workspace.

Why this matters

Every plan, content draft, and advisor answer in a workspace builds on that client's Business Profile, Research, Brand Kit, and Marketing Memory. Work in the wrong workspace and one client's positioning or research can quietly shape another client's plan, and the mistake usually surfaces in front of the client. Three layers keep this straight: the account holds your practice, each client has its own workspace, and each person's role decides what they can do there. The whole loop, Diagnose to Learn, runs inside that boundary.

When to use it

When you add a client, when you move between clients during the day, and before you invite anyone. Also whenever a draft mentions a product or competitor that belongs to a different client.

Before you start

  • At least two client workspaces, or a second you are about to add with Add Client.
  • The name of the client you are about to work on, decided before you open anything.

Do this

  1. 1Read the client switcher at the top of the left sidebar. It names the active client. Open it to see Agency Overview (a roll-up across all clients), the Switch Client list, and Add Client.
  2. 2Choose the client you intend to work on. If you switch while viewing a single Create run or client record, the app returns you to the list page so you do not keep editing the previous client's item.
  3. 3Open Workspace and confirm the Business Profile describes this business. The page notes that every plan, content draft, and advisor answer builds on it.
  4. 4Open the Brand Kit card ("Colors, fonts, logos, voice, and content preferences for this client."). What you save there belongs to this workspace only.
  5. 5Open Research and confirm the sources under My Content and Market Sources are this client's. Sources you add with Add sources go to the active workspace.
  6. 6If you are an owner or manager, open Settings → Team and read the two layers: Account teammates, who can access every workspace in the account, and Workspace access, roles that apply only to the selected client (see Give teammates the least privilege they need).

What you should see

The switcher names the active client, and Workspace, Brand Kit, Research, and the Marketing Plan all show that client's material. On Settings → Team, account teammates carry an account role (Account owner, Account manager, or Teammate) and workspace members a role for this workspace only. With a single client, the switcher shows no dropdown; that is expected.

How to judge it

Switch to a second client and open Workspace, Brand Kit, and Research: none of the first client's facts, brand assets, or sources appear. For each person on Settings → Team, you can say whether they reach every client or one, and why.

What it does not mean

A separate workspace does not hide a client from your own team: account teammates can open every workspace in the account. Separation stops data from mixing, not colleagues from seeing it, and it cannot stop someone pasting one client's material into another's workspace by hand. Check the switcher before you add, edit, or generate anything.
